1. In short
Kyano stores what a forwarder and a prospect type, so the desk can qualify an inquiry and keep it on one email thread. This page says what that is, why it is kept, and who else sees it.
Personal data means information that can identify a person: a name, a work email, a company, or a message tied to that person.
2. Who is responsible
The operator of this site decides why the data is processed. That is the controller under the GDPR. The forwarder who invites a prospect is responsible for the inquiry they collect through their own link, and for what they do with it afterwards.
3. What is collected
The pilot form asks for a name, a company, and a work email.
A quote link asks for the prospect's company and contact, the cargo and HS code, the route, the size or total CBM, and the files they attach. The forwarder can also upload a rate sheet. That sheet is their commercial data.
The language choice is stored in a cookie on your browser so the site stays in English or Spanish. The staff key for a desk is stored in that browser so the team does not type it on every visit. There is no advertising cookie and no analytics product on this site.
Mail and server logs can include the address a message was sent to, and the time it was sent.
4. Why
The pilot form is used to answer a request and, if you continue, to open a desk. That is a step before a contract.
The quote, the email thread, and the rate sheet are used to perform the service the forwarder asked for. Stripe processes the card so the paid plan can be charged.
The language cookie is used so the site can show the language you picked. That is a legitimate interest in running the site, and it is limited to that choice.
5. Who receives it
A completed quote is emailed to the forwarder's desk, with the prospect on copy. Reply-To is the prospect, so the desk replies to them.
If a mail provider is connected, that provider carries the message. If a database is connected, the records sit there. If not, they sit in a file on the server that runs the API. Stripe receives the billing details for a paid desk. Kyano does not sell personal data.
6. How long
A record stays while the desk is active and the inquiry is still needed for the quote and the thread. You can ask for deletion. Data that has to be kept for tax or accounting stays until that duty ends, and is then deleted.
7. Your rights
You can ask what is stored, ask for a correction, ask for deletion, ask for a limit on processing, and ask for a copy in a common format. If you gave consent, you can withdraw it for the future. You can object where the basis is a legitimate interest.
You can also complain to the Agencia Española de Protección de Datos (aepd.es). A complaint does not stop you from writing to us first.
8. Security
Access to a desk uses a key. Rate sheets are not placed on a public page. Mail over the internet is not perfectly private. Do not send a secret you cannot afford to have in an email thread.
9. Contact
For access, a correction, or deletion, write to the pilot form on this site.
